Job Summary
To plan and co-ordinate the Authority’s Business Process Management/Re-Engineering (BPM/R) initiatives to deliver process efficiencies and a process excellence culture that meets the organization’s strategic goals and objectives.
Key responsibilities:
I. Business Process Re-Engineering and Change Management for continuous business performance improvement.
- Provide Process re-engineering subject matter expertise in analyzing opportunities to streamline process activities and identity improvement and enhancements needs
- Work with process owners to identify acceptable business process performances; non-performing; priority areas; innovation and continuous improvement ideas.
- Quantify benefits and costs in order to prioritize opportunities and present and discuss opportunities with senior stakeholders
- Develop and co-ordinate implementation roadmap for process re-engineering initiatives; monitor progress to deliver against project scope, timelines and budget; report deviations to management and update implementation plans as necessary
- Maximize potential of the authority’s systems investments by acting as link between business and technology, offering solutions to business issues and guiding in the correct use of technology to optimize business process performance and ROI
- Oversee process review initiatives for core and support process analysis mapping and redesign with a focus on organization strategic focus and corporate objectives
- Oversee and manage cross functional business process re-engineering teams for assigned process portfolio
- Synergize and manage process requirements for internal and external systems interdependencies, integrations and interactions liaising Business Enterprise Architecture and Projects Management office to define projects process re-engineering needs, outputs and impacts
II. Business Processes Standardization and adoption “on the ground”
- Collaborate with business subject matter experts to understand and document business processes to ensure consistency across the authority and identify areas where processes need to be streamlined to achieve process standardization
- Oversee process analysis to identify any gaps between what is documented and what is happening on the ground
- Undertake research on best practice as part of benchmarking
- Communicate to senior stakeholders on underlying systematic conditions that conflict with the intended process execution and recommended solutions

- Oversee monitoring and training of internal users on newly implemented business processes to heighten awareness of process.
III. Organization’s Business Process Management (BPM) Framework; Methodologies and Standards Operationalization
- Define or provide input on improvements to the Process Engineering Methodology and Corporate BPM Framework
- Drive adoption and execution of the defined Business Process Management and Change framework within the authority
- Define; Plan and Co-ordinate Process re-engineering and change Interventions to drive adoption BPM methodologies and standards for a process excellence culture

IV. Develop Organization’s BPM Capacity
- Support the delivery of continuous organizational process re-engineering /change strategy across all business units within agreed timeframes
- Facilitate and/or manage major strategic process improvement/redesign initiatives.
- Coach; mentor and guide Process Re-engineering staff and cross functional process engineering teams on industry techniques and approach in the investigation of process requirements, problems; opportunities and project management/execution.
- Develop awareness across the organization on business re-engineering and analysis and role model a process excellence/continuous improvement culture.
- Provide training on the application of the BPM/R framework, tools and methodology and standards to relevant staff where applicable
V. Stakeholder and Quality Management
- Proactively engage with stakeholders to address needs and issues
- Ensure high level of customer service across all interactions/deliverables
- Manage stakeholder relationships and expectations
- Facilitate stakeholders meetings and workshops
- Ensure quality standards are maintained in all Re-Engineering Initiatives
- Liaise with appropriate structures on organizational standards/guidelines
- Participate in post-implementation quality audits
- Co-ordinate planning and scheduling of business process audits
- Assist with conducting of business process audits including opening and closing meetings, process audit follow-up, recommendation of corrective actions and preparation of business process audit report
VI. Administrative
- Hands-on monitoring of team members’ work through working alongside others
- Manage delegation and completion of tasks to ensure timeous delivery
- Guides, motivates and encourages team members
- Manage HR requirements (discipline, recognition, admin etc.)
- Mentoring, training and skills development of pool of resources
- Any additional duties as assigned
Academic and Professional qualifications
- University Degree – Upper 2nd Class or equivalent from a recognized university
- Lean and/or Six Sigma certification or other recognized Business Process Analysis/Improvement Methodologies
- Project Management Certification and experience
- A Master’s Degree in a relevant field and/or additional certification in Business Analysis is an added advantage
Relevant work experience required
- Minimum 7 years working experience of which 3 years should be in Management role.
- In-depth knowledge of Business Process approach/improvement methodologies and techniques (Lean; Six Sigma; TOC etc.)
- Proficiency in process documentation tools – (Visio; BPMN or other recognized process mapping tools)
- Practical experience in relevant MS Office Applications (Word, Excel, PowerPoint, MS Project,)
- Experience in leading managers in diverse roles
- A good understanding of technology.
- Knowledge/Certification in ISO 9001:2015 an added advantage
